This Privacy Policy explains how Applied Science ("we", "us", "the Controller") collects, uses, stores and protects your personal data when you use the Applied Science platform (the "Platform"). It is published in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR") and the Maltese Data Protection Act (Cap. 586 of the Laws of Malta).
The data controller responsible for your personal data is Applied Science, operating from Malta. For any data protection enquiry, including requests to exercise your rights, contact us at privacy@myappliedscience.com or through the Contact page on the Platform.
We collect the following categories of personal data: (a) Identity and contact data: full name, email address, date of birth. (b) Account data: login credentials (managed by Google authentication), role (athlete or coach). (c) Performance and health data: sport, position, training goals, session logs, RPE scores, daily wellness/readiness scores (sleep, soreness, stress, readiness), photographs you upload, supplement protocols, and benchmark measurements. (d) Payment data: processed by Stripe; we receive the transaction reference, subscription status and billing period, but we do not store your card number or full card details. (e) Usage data: pages visited, device information, IP address and interaction logs collected automatically when you use the Platform. (f) Communication data: messages exchanged between athletes and coaches, enquiry submissions and support requests.
We process your personal data on the following lawful bases: (a) Contract performance: to deliver coaching services, programmes, session logging and billing to which you are a party. (b) Legal obligation: to maintain records for tax, accounting and regulatory compliance. (c) Legitimate interests: to improve the Platform, ensure security, prevent fraud and develop AI-assisted performance insights. (d) Consent: for optional processing such as marketing communications and non-essential cookies. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.
We use your personal data to: create and manage your account; deliver personalised training programmes and supplement protocols; log and analyse training sessions and wellness data; generate AI-assisted session review; process subscription payments and apply the platform service fee; communicate with you about your training, account and the Platform; provide booking and meeting scheduling; ensure platform security and prevent abuse; comply with legal obligations; and improve our services through aggregated, anonymised analysis.
We do not sell your personal data. We share data only with: (a) Coaches, who can view the profile, programmes, session logs and wellness data of athletes assigned to them. (b) Stripe, as our payment processor, for subscription billing. (c) Google, for authentication and (where you connect it) Google Calendar integration. (d) Our hosting and infrastructure providers, who act as processors under contract. (e) Authorities, where required by law or to protect our legal rights.
Your data may be processed by our infrastructure providers in countries outside the EU/EEA. Where this occurs, we rely on appropriate safeguards such as Standard Contractual Clauses adopted by the European Commission, or on a recognised adequacy decision, to ensure a level of data protection essentially equivalent to that within the EU/EEA.
We retain personal data for as long as your account is active. After account closure we retain data for a reasonable period to fulfil legal, accounting, tax and dispute-resolution obligations: account and billing records are kept for up to 7 years; session logs, wellness data and performance records for up to 3 years; and enquiry submissions for up to 2 years. You may request earlier deletion where the law allows.
You have the right to: (a) Access your personal data and receive a copy. (b) Rectify inaccurate or incomplete data. (c) Erase your data ("right to be forgotten"), subject to legal retention obligations. (d) Restrict processing of your data. (e) Object to processing carried out on the basis of legitimate interests. (f) Data portability: receive your data in a structured, machine-readable format and transmit it to another controller. (g) Withdraw consent at any time where processing relies on consent. (h) Lodge a complaint with the Maltese Data Protection Authority (the IDPC) or with the supervisory authority of your habitual residence. To exercise any right, contact privacy@myappliedscience.com. We respond within one month, extendable by two months for complex requests.
The Platform is not directed at individuals under 18. We do not knowingly collect personal data from children under 18 without verified parental or guardian consent. If you believe we have collected data from a minor without authorisation, contact us and we will delete it.
We implement appropriate technical and organisational measures to protect your data, including encrypted transmission (TLS), role-based access controls, authentication, secure secret storage, audit logging, and separation of coaching data through row-level security. Access is restricted to authorised personnel and to the coaches assigned to each athlete.
Where you use the Applied Science iOS application, the following disclosure corresponds to the App Privacy information declared for the app on the Apple App Store. These categories use Apple’s standard definitions. (a) Data linked to your identity — the following may be collected and associated with your account: Usage Data; User Content (including session notes, uploaded photographs and messages); Contact Info (name, email address); Sensitive Info; Health & Fitness (training, wellness, readiness and performance data); and Financial Info (subscription and billing references held via our payment processor). (b) Data not linked to your identity — the following may be collected without being associated with your account: Browsing History (in-app navigation); Diagnostics (crash and performance logs); Location (approximate, derived from network information); Usage Data; User Content; and Other Data. (c) Data used to track you — Apple defines "tracking" as linking your data with data from third-party apps, websites or offline sources for advertising or advertising-measurement purposes, or sharing it with a data broker. The app’s declared labels list the following under this heading: Diagnostics; Usage Data; Contact Info; User Content; Health & Fitness; Other Data; Financial Info; and Sensitive Info. We do not sell your personal data and we do not share it with data brokers. Where any tracking as defined above takes place, it is carried out only after you grant permission through the iOS App Tracking Transparency prompt shown by your device. You may refuse that permission, and you may withdraw it at any time in iOS Settings > Privacy & Security > Tracking, without losing access to the Platform. Refusing or withdrawing tracking permission does not affect the processing described in the remainder of this Policy, which is carried out on the lawful bases set out in section 3.
Where you use the mobile application, we may send push notifications to your device about new training programmes, daily wellness check-ins and scheduled sessions. Push notifications are sent only after you have expressly consented, either through the in-app consent prompt shown at first sign-in or through your device notification settings. You may withdraw consent at any time in your profile notification settings or in your device settings. Where you decline push notifications, equivalent reminders are sent by email unless you have also disabled email reminders.
We may update this Privacy Policy to reflect changes in our practices or legal requirements. Material changes will be notified by email or through a prominent notice on the Platform. The "Effective Date" indicates the most recent version. Continued use after the effective date constitutes acceptance of the updated policy.
